How to organise washing a company vehicle fleet
Build a working vehicle list
Start with a simple table: internal vehicle number, model, body type, usual route and when it is available. Add details that affect care, such as interior materials, film, an extra row of seats or luggage equipment. Keep the responsible person's contact details where they are needed to organise the visit, and share only necessary information with the provider. You do not need a complex system straight away. The coordinator should be able to see which vehicles are actually available, while the driver knows where to go and what was ordered.
Define a basic cleaning standard
Set out specific work for a regular visit: body, mats, vacuuming, glass and other required areas. List tasks based on condition separately, such as stain removal or cleaning the load compartment. Do not combine them into a vague request to do everything. Vehicles with different purposes can have different packages: a passenger vehicle and one carrying equipment may need different care. Agree the size category and price calculation for each model or a clearly defined group of vehicles.
Fit visits around the work schedule
Schedule the queue according to actual vehicle availability as well as the wash provider's convenience. If several cars are needed at once, send them in turn and leave a reserve for work tasks. Confirm site capacity, intake arrangements and the possibility of consecutive visits, without assuming a dedicated lane for companies. Agree a separate window for longer procedures. Allow for travel, key handover and inspection; the article on time for washing and car care explains these stages.
Assign someone to make decisions
Drivers should know in advance whether they may approve additional work and whom to ask. The coordinator should define a clear process: a photo of the problem area, a description of the proposed service, the new total and a decision before work starts. Avoid leaving different verbal versions of an agreement with several people. Ask the provider to repeat changes in the agreed communication channel. If a vehicle is delayed, the responsible person can reschedule the next visit or redistribute transport without promising staff a finish time that is still unconfirmed.
Use a consistent collection check
Make a short checklist for drivers: completed areas, visibility through the glass, returned belongings, interior readiness and agreed extras. Record specific observations with the vehicle and date. Saying that streaks remain on the inside of a window helps resolve the issue more than a general rating. If a concern recurs, discuss the process with the provider and clarify the standard instead of adding services without investigation. You can use the post-wash inspection route as a basis for a shared internal checklist.
Review the process after the first visits
Compare agreed and completed work, time the vehicle was unavailable, recurring concerns and clarity of pricing. Adjust the schedule and service list from those observations. Choose wash frequency according to each vehicle's condition and use, rather than one rule for the whole fleet. A regular service card does not promise a separate corporate package, discount or special payment arrangement.
